InStep use case
Visitor management system with real-time location
InStep is a visitor management system that keeps track of your visitors after they sign in, from reception to the exit door. Site tours, customer visits, regulatory inspectors, compliance auditors, election observers and credentialed press get pre-registered, geofenced, time-bounded access, are checked out automatically and leave behind a record you can defend.

The problem
A visitor log records arrival. It can’t show where visitors went.
Paper logs and day passes capture who arrived. They don’t show where the visitor went, whether the escort stayed with them, or whether they ever left. When an auditor asks who was in the clean room on Tuesday afternoon, the answer gets pieced together from memory and a sign-in sheet.
For observers and press the stakes are higher. Their presence in a restricted area has to be verifiable and auditable, and it has to hold up if anyone challenges it later.
And when the fire alarm goes off, the visitor book is usually at reception, the one place nobody is going back to.

What changes
What a visitor management system with RTLS adds
- Pre-registered access with defined zones and time windows, so visitors arrive expected and cleared
- Geofenced presence, with an alert when a visitor enters an area they aren’t cleared for or an escort rule is broken
- Automatic check-out and exit verification: no open visitor records at the end of the day, and visitors included in the muster count
- Verifiable, auditable presence for observers in restricted zones, so transparency doesn’t cost you control
InStep is in production in elections too, including the most-watched ballot count in America, where the line between authorized and unauthorized presence is the line between a trusted result and a crisis.
How it works
Capture, understand, act.
- CaptureVisitors are pre-registered and get a badge or wristband on arrival. Gateways and readers cover entrances and restricted zones.
- UnderstandTrapeze applies each visitor’s zones, time window and escort rules to every reading and records a timestamped, signed location event.
- ActVisium shows who is on site and where, raises alerts on violations, checks visitors out automatically and keeps the audit trail for inspectors and auditors.
Visitor tracking, start to finish
One visit, five moments that matter.
A typical day for a regulated site: an inspector, two customer guests and a service visitor, each with different rules.
Before arrival
The host registers the visitor with a name, a company, the zones they need and a time window. An auditor might get the QA lab and the records room from 9 to 4. A customer tour gets the showroom and one walkway on the production floor.
At reception
Reception issues a smart badge or BLE wristband linked to that registration, or the visitor checks in on a tablet or phone. No typing names into a paper book, and the host knows their guest has arrived.
On site
Visitor tracking runs in the background. If a guest steps into a zone outside their clearance, leaves their escort behind or stays past their window, the host or the control room gets an alert with the zone and the time.
In an emergency
Visitors appear in the live muster status alongside employees and contractors, with their last-seen zone. Responders don’t have to guess whether the two guests from this morning are still in the building.
After they leave
The badge passing the exit closes the visit automatically. The record stays: where each visitor went, when, and with whom, kept as long as your retention policy allows and ready for an auditor’s question months later.

Proof, measured on your site
How a visitor management system pilot is measured
Our election work isn’t something we can show in detail on a website. So we offer the next best thing: a short pilot that measures your own visitor flow.
- BaselineWe record how visits work today: how long check-in takes, how many visitor records are still open at the end of the day, and how long it takes to answer “who was in this room?”
- Pilot weeksOne entrance and a few restricted zones run with badges or wristbands for a few weeks, alongside your current process.
- What we measureCheck-in time, open records at close, zone and escort violations caught, visitors included in a muster drill, and time to produce an audit answer.
- DecisionYou compare the pilot with the baseline and decide whether to extend it to more entrances and zones, adjust the rules, or stop.
Questions buyers ask
Visitor management system FAQ
Can visitors be checked out automatically?
Yes. Visitor access in InStep is pre-registered, geofenced and time-bounded, with automatic check-out and exit verification.
Does InStep replace our access-control system?
No. InStep connects to access-control, HRIS and EHS systems through REST APIs and EAI-Bridge, and adds real-time presence and zone rules to the doors you already control.
What is the difference between visitor tracking and RTLS?
Visitor tracking is the job: knowing where a guest is and whether they should be there. RTLS (real-time location system) is the technology underneath: badges, wristbands and gateways that report location continuously. Because InStep uses RTLS, the visitor record shows where someone went and when, along with the time they signed in.
How is visitor privacy handled?
InStep is aggregate by default, anonymized where appropriate and auditable always. Role-based anonymization, opt-in workflows, retention controls and GDPR- and BIPA-ready privacy controls apply to visitors as much as to staff.
Can we run it in the cloud or on our own servers?
Either. The platform runs on premises, in the cloud or hybrid, and a single server is enough for a pilot.
