InStep use case

Contractor tracking for temp workers and seasonal crews

InStep brings contractor tracking to service crews, installation teams, maintenance vendors and seasonal hires, people who don’t follow your employees’ routines and often don’t know your site. It onboards them, keeps them inside the zones they are cleared for, confirms they have left and turns their output into a count both sides can see.

The problem

Temporary workers shouldn’t be invisible workers.

Contractors and vendors turn up on different schedules with different clearances. A paper sign-in sheet can’t show whether a contractor has wandered past the area assigned to them, whether the escort is still with them, or whether everyone has signed out.

Seasonal and piece-rate staff add a pay problem. When output is counted and reconciled by hand, a separate team spends its shift on it, and every disputed count costs time and goodwill.

What changes

What contractor tracking changes

  • Automated onboarding and check-in and check-out, with badge expiry enforced instead of remembered
  • Escort rules and zone rules by role, with an alert when a contractor crosses a boundary they aren’t cleared for
  • Exit verification, so you know every temporary worker has left, and who to look for during an evacuation
  • Piece-rate output counted to the worker and station in real time, visible to workers and supervisors alike

How it works

Capture, understand, act.

  1. CaptureA badge, wristband or RFID credential is issued at onboarding. Readers and gateways at entrances, workstations and restricted zones see it.
  2. UnderstandTrapeze applies each worker’s role, clearance, escort rules and badge validity to every reading. On production lines it credits each unit produced to the worker’s station.
  3. ActVisium runs check-in and check-out, alerts on escort, zone and badge violations, verifies exits and reconciles counts or hours. EAI-Bridge shares them with HRIS and time-and-attendance systems.

Contractor management

From the gate to the payroll file.

Onboarding and badge expiry

A contractor is registered with a company, a role, the zones they may enter and an end date. After that date the badge counts as expired, and if it is still seen on site someone hears about it. Nobody has to remember.

Escorts and cleared zones

Some vendors may only move with an escort; some crews are cleared for one building. InStep checks each reading against those rules and alerts the host or the control room when they are broken.

Exit verification and mustering

At the end of the shift the system lists who is still on site. During an evacuation, contractors count in the muster status just like employees, with a last-seen zone.

Temp worker time tracking and piece-rate pay

Hours on site come from presence at the gate and in work zones. Where pay is per unit, each worker’s badge is linked to a station and every unit built there is credited to them and shown on a station display.

Manufacturing & Logistics

Continental Floral Greens

Every Christmas season, from September to November, CFG tracks more than 1 million wreaths built on a line of 15 assembly stations, and workers are paid per wreath. Badges link each worker to a station. Each wreath’s RFID label is credited to that station, shown on its display and read on the accept or reject path at QA, so a reject traces back to the station and time it came from. Delivered with Zebra Technologies and Redline Solutions.

Both sides finally have a number they trust.

Questions buyers ask

Contractor tracking FAQ

Can InStep enforce escorts and badge expiry for contractors?

Yes. Contractor management in InStep covers onboarding, automated check-in and check-out, escort enforcement, badge expiry and exit verification.

How does piece-rate pay reconciliation work?

Each worker’s badge is linked to a workstation when they first scan in. Every unit carries a pre-printed RFID label. The first time it is read, it is credited to that station and worker, and the count appears on the station display. At quality control the unit is read on the accept or reject path, so rejects trace back to the station and time they came from.

Does it connect to time-and-attendance and HR systems?

Yes. REST APIs and EAI-Bridge connect InStep to HRIS, time-and-attendance, access-control and EHS systems.
